Use 7-Zip to Open .Rar file or .Zip file

Isn't it very strange to write about such an easy topic in this site? Maybe. But I'm gonna share a personal experience with you. After that you answer whether this post is unnecessary or not.

Few days ago I joined as an Internee at Uttara Bank Ltd. My first assignment in the bank was to print a file that officials failed to open. The Branch Manager knew about my computer skills. He asked me to troubleshoot the problem.

The task was very easy. It was simply a file with .rar extention. A mail was sent from Head Office. There were two files. So it was compressed by WinRar. As officials were not familiar with this file type they were confused. Then I just visited to the Filehippo and download the 7-Zip. After installing this I opened the file and printed this. :)

By the way, all of you (except new users) might be familiar with zip or rar files. There are many free as well as premium applications to compress the files or unpack the zipped files. But today I'm gonna discuss about 7-Zip

Let's have a look at what 7-Zip is actually-
  • 7-Zip is an open source file archiver with a high compression ratio.
  • It is mostly used to zip and unzip the files and folders.
  • Supported Packing and Unpacking Formats: 7z, XZ, BZIP2, GZIP, TAR, ZIP and WIM
  • Supported Unpacking Formats: ARJ, CAB, CHM, CPIO, CramFS, DEB, DMG, FAT, HFS, ISO, LZH, LZMA, MBR, MSI, NSIS, NTFS, RAR, RPM, SquashFS, UDF, VHD, WIM, XAR and Z.
  • Finally the installation size is really smart. Less than 3 MB!

First you've to download 7-Zip from the above link. The download size is approximately 1 MB. Then install this on your PC. Installation process is very simple. There is no confusing option.

Portable version is also available. You can download it from here. [Note: If you use portable version you can't get the app shortcuts when right click on files or folders]

After installing it on your PC, 7-Zip icon may appear on your Desktop or Program list. And when you right click on any file or folder you will see the options of 7-Zip.

To Open/ Extract a .Rar File or Folder:
  1. Make a right click on that file/folder.
  2. Choose 7-Zip > Open Archive.
  3. Now you can see the files stored on that folder.
  4. Hit on Extract button to unzip those files.

To Compress/ Zip Files or Folders:
  1. Make sure the necessary files or folders are kept in the same folder.
  2. Now select the files and Click right.
  3. Choose 7-Zip > Add to Archives.
  4. Choose the Archive Format > Compression Level and other options as your need.
  5. Hit OK.

Instructions for Portable Version:

The portable version is same as installed version except one thing. You will not get the shortcuts in mouse right click. All you need to do is just open the application from your PC where you've stored it. The application should be named as: 7-ZipPortable.exe

When you need to run this program, simply click twice on it. Immediately after clicking on it, 7-Zip will run. Now, if you wanna archive something first go to the proper Location > Select the Files or Folder > Hit on Add > Choose the Destination Folder, File Format > Compression Level etc > Hit OK

And if you wanna extract something then simply select the files and hit on Extract. If you do not choose any specific location for the extracted file then they will be extracted to the current folder.
Also have a look at the image below. Important buttons for using 7-Zip are marked there!

JIFUNZE KUPIGA WINDOW KWA KUTUMIA FLASH

Install, Boot Windows from USB Pen, Thumb or Flash Drive

Normally, Windows is installed using optical media like DVDs and CDs but there are times when it is not possible to boot into the windows setup using disks probably because your DVD drive is not working or, if you are using one of those ultra-portable laptops, it is not there at all.

Install Windows from USB drive
To overcome this problem, one can either use an external DVD drive and install Windows normally or create a bootable pen drive to install Windows whenever needed. In this tutorial, we will discuss about the latter and learn how can we create a bootable USB drive for installing Windows XP, Windows Vista, Windows 7 or Windows 8. As installing Windows from a flash drive is much faster than from a CD/ DVD, such an installation will also save time.

This article assumes that your computer has a mother board which supports booting from USB drives. Most modern laptops and desktops support it. If you have bought your computer in the past 5 years, you do not need to worry about this.....Installation Requirements
  1. An empty flash drive with a storage capacity of 1GB for Windows XP and 3GB for Windows 8, Windows 7, Windows Vista and Windows Server 2008.
  2. Windows installation disk or Windows installation files stored somewhere on your computer.

Steps to create a bootable USB Flash Drive

  1. Download Win to Flash. The software is still in beta phase so it is possible that it has some bugs although I have personally faced none. The latest version of Win to Flash can be downloaded from the Win to Flash website. The latest version also supports Windows 8. To avoid this tutorial from getting outdated, I would advise to download the software from the former link if you are not planning on using Windows 8.
  2. Extract the downloaded zip file to any folder on your desktop.
  3. Open the folder and run WintoFlash.exe by double clicking on it.
  4. Click Next, check I accept EULA, click Next and Next again. Wait for the software to load some ads, click Next and Next again.
  5. A welcome screen like one in the image below will show up.
  6. Boot Windows USB Flash Drive
    Win to Flash welcome screen
  7. Click on the big green tick. The welcome screen will turn translucent and WinToFlash wizard will open.
  8. Bootable Windows Pen Drive
Wizard showing the various version of Windows it supports
  9. Click Next. On Windows File path entry box, click Select button and select the location of your Windows disk, or the folder containing the Windows setup files and click OK.
  10. On USB Drive path entry box, select your USB flash drive's location and click OK.
  11. Click Next button. In the dialog box, encircle I accepted the license agreement and click Continue.
  12. A warning message will be displayed saying that "Formatting will erase all data on the disk". Click OK on the message.
  13. WintoFlash will show a window with a progress bar like the one in the image below.
  14. Boot Windows from USB
    Preparing a bootable pen drive
  15. After the progress bar reaches the end, press Next and then press Exit. A notification to update WintoFlash might be shown, click "No just close" to close it.
That's it. You now have a bootable pen drive that can be used to install Windows. To install Windows from it, follow the steps given below:-

Installing Windows from the bootable USB Thumb Drive

  1. Plugin your thumb drive.
  2. Start your computer. Go into the BIOS setup by pressing the Delete key. In the boot menu, select your flash drive as the first boot device. Save settings and restart your PC. (This step might be different for different computers. Check your system guide to know how to change the boot order in your PC.)
  3. Windows setup will load.
  4. Install Windows by following the on-screen instructions.
This tutorial works on all versions of Windows including Windows 8, Windows 7, Windows XP and Windows Vista.

5. Keep Your Antivirus Running and Up to Date

Top 10 Ways to Speed Up Your Computer's Boot Time
This should go without saying, but we'll say it anyway: install some antivirus software, keep it up to date, and run a regular scan. This is more of a preventative measure than an actual boot-speeding tip, but if you ever do get malware, it's sure to slow your computer's boot time. With a good antivirus around like Microsoft Security Essentials, you'll be more protected against that happening. Don't like MSE? There are some great ones out there too, so there's no reason
Sometimes antivirus can make our computer slower, so choose the best antivirus for your PC which are compatible with your computer hardware. Don’t install high performance antivirus which can slow down your computer.

1. Clean up the hard drive

Remove unwanted files, like temp files, downloaded program files, recycle bin, etc. You could use Disk Cleanup option to do this, as follows:
  1. Click Start > All Programs > Accessories > System Tools > Disk Cleanup
  2. The system will first calculate how much space can be freed up this way. In the Disk Cleanup window (refer figure) that appears, select the files in that need to be deleted under the Files to delete list.
  3. For deleting ‘System Restore‘ and ‘Shadow copy‘ files, click "Clean up system files" and then on "More Options" tab
  4. Finally click OK. You’ll be prompted again before the deletion. Click Yes.
disc cleanup

2. Perform Disk Defragmentation

When there is no sufficient space to store in a hard drive, the OS splits the file into parts and stores it in different areas on the hard drive. Defragmenting allows all these parts to be stored in contiguous memory locations. For defragmenting disk do the following:
  1. Click Start > All Programs > Accessories > System Tools > Disk Defragmenter
  2. In the window (refer figure) that appears, click on the drive that you want to defragment and then click Analyze disk.
  3. This will estimate the time required for the process. When done click on Defragment disk.
  4. Once done you can either View Report or click Close.

These pretty much sum up the small things that you can do, to make a big difference to your Windows 7′s performance. If you have some personal tips you’ve done yourself to improve the performances, we’d like to hear from you.

1. Using minimal Visual Effects

Disabling certain (or all) visual effects can definitely enhance performance. To disable visual effects, do the following:
  1. Press Windows key and while holding it down, press Pause/Break key.
  2. In the window that appears, click on Advanced system settings in the left side pane.
  3. In the Advanced tab, under Performance Section, click on Settings
  4. In the Performance Options window (refer figure) that appears, under Visual Effects tab, disable the options that you do not need. Or simply selecting ‘Adjust for best performance‘ will disable all options.
  5. After disabling the option, click Apply and then OK.
Doing the above might make the screen less attractive. But, the performance will surely get a boost.

3. Disable or make unneeded services Manual

Some processes and services, which might not really be necessary, are by default made to start automatically once the system starts up. They will consume RAM as well as the processor’s attention, slowing down other important tasks. It is best to disable them. For this, do the following:
  1. Click Start. In the search box type services.msc and press Enter
  2. Go to Services & Applications > Services. You’ll see the Services window (refer figure).
  3. Right-click on a service that you wish to set to manual or disable. If the service is already started, Stop it first.
  4. Once the service is stopped, again right-click on it and select Properties.
  5. In the Startup type, you can either set the service to Manual, if you would be using it later, or Disable it, if not needed.
  6. Once done, you can close the window.
services

4. Disabling Unwanted Start-up programs to speed up System Start-up

Some programs are set to start during system start-up. These might slow down the start-up process. Programs that are not really needed during start-up can be disabled. For this, do the following:
  1. Click Start. In the search box type msconfig and press Enter.
  2. In the System Configuration window (refer figure), go to Startup.
  3. Uncheck the box next to those processes that are not important for start-up. This will disable them.
  4. Once you’ve disabled the processes, click Apply and OK.

2. Enable Write caching on device

This is an option which allows the OS to flush changed data to the hard disk when the system is idle, so that performance is not affected when in use. For enabling this, do the following:
  1. Press Windows key and while holding it down, press Pause/Break key.
  2. In the window that appears, click on Device Manager in the left hand pane.
  3. In the next window that appears, expand Disk drives.
  4. The drop-down list will show the hard drive. Right-click on it and select Properties.
  5. Click the Policies tab in the Device Properties window (refer figure).
  6. Check the box next to "Enable write caching on the device"
  7. You can as well check the box next to "Turn off Windows write-cache buffer flushing on the device" and then click OK.
virtual HD
Note: However, there is one disadvantage in enabling these options – if there is a power outage or a system crash, data might be lost or corrupted. If you have a secondary power supply, like a UPS, you could go ahead with checking these options.

3. Upgrade Your RAM

Top 10 Ways to Speed Up Your Computer's Boot Time
Installing more RAM has always been an effective way of speeding up your computer, and that hasn't changed. RAM is pretty cheap these days, so if you're running low, there's no reason not to stock up and make your computer run a little smoother. We've gone over how to replace it in both a desktop and a laptop, and even for the inexperienced, it's a pretty simple procedure.

9. Clean Out Programs that Launch at Startup

Top 10 Ways to Speed Up Your Computer's Boot Time
One of the most tried and true ways to speed up your boot process is to keep unnecessary programs from starting up with your computer. You can do this by running msconfig from the Start Menu's search box, and going to the Startup tab. This applications list will tell you what each of those applications does, so you know which ones you can disable and which ones you don't want to. Previously mentioned Soluto is also a fantastic way to clean up these programs, and these days it's got a bunch of other handy features that make it worth a download.

1. Install a Solid State Drive

Top 10 Ways to Speed Up Your Computer's Boot Time
These days, your hard drive is probably the biggest bottleneck in your machine. One of the best upgrades you can make to your computer is to install a solid state drive, which has super-fast read times that can speed up your startup considerably. They're certainly not a cheap upgrade, nor are they without their own maintenance requirements, but if you want to speed up your computer and its boot time, you can't go wrong by installing an SSD. The difference will be shocking.

Protect your Documents, Workbooks & Presentations by Password !!

Protect your Documents, Workbooks and Presetations by Password

If  you're a regular visitor of Marks PC Solution you should notice, we've published lots of tutorials on Microsoft Windows, Microsoft Office and other software. We've also published many tutorials and tips regarding security issues. You can find those tips by using the search box. Or you can search by categories: Tips n Tricks, Tutorials, Microsoft, Windows, Security etc.  Today, I would like to share another tips on security.

Many of you might be familiar with the password protection system of Microsoft Office. If you're working with highly confidential documents, workbooks and presentations (ie. Exam Questions, Online Account Information, Personal Information, Other Secret files),  then this is a good idea to encrypt those files by password.

But if you are not acquainted with the password protection system you should go through the whole post. You should know, the different versions of MS Office keeps the password option differently. You will not find it similar in Office 2003, 2007 and 2010. That could be difficult for you to find the password option. That's why I'm gonna discuss about all versions. :)

Note: The procedure is very similar in MS Word, Excel and PowerPoint.

Setting Password in MS Office Documents

Office XP and 2003:

These two versions are almost similar. All the options and tools are located at the same place. Maybe they are different just by color! Let's start -

Open MS Office Document (Word/ Excel/ PowerPoint) > Go to Tools Menu > Select Options > Hit on the Security Tab > Type your Password on Password to Open Box > Hit OK > Save the Document.

Now whenever you will open the document, first you have to enter the password. Then you will be able to access the file.

I apologize for not sharing any image. I don't use 2003 anymore. I have been using Office 2010 for last two years. But this is very easy. You will have no problem to set password in Office 2003. Upgrade to Office 2010 or 2013 to enjoy exiting features!

Office 2007:

You know Office 2007 brings a dramatic change in the interface. Its ribbon interface is absolutely different from Office 2003 or XP. But Office 2010 and 2007 are almost similar except small changes in few options. Okay start -

Open any of the Office Programs (Word, Excel or PowerPoint) > Now hit on the Office button from the top left corner > Choose Prepare and then Select Encrypt Document > A small Password box will appear > Type the Password > Hit OK > and then Confirm it > Save the Document.

Look at the image below:

Office 2010:

Though Office 2007 and 2010 are very similar, but there are some significant changes in some of the options. A major change is the disappearance of the Office button. Instead of Office button, you will see the File button in 2010. See how to do -

Open either Word, Excel or PowerPoint file > Click on the File button from the upper-left corner > Choose Info > Hit on the Protect Document from Permission section > Choose Encrypt with Password > Type your desired Password in the box and hit OK > Type again to confirm it > OK > Save the Document.

You can take help of the image below:

Note: If you don't save the document after setting the password, then it will be removed automatically. Password will be enabled after saving the document. And remember, this password has no recovery options as you can do in Gmail, Yahoo or Facebook! So be careful!

Removing/ Changing the Password

Sometimes you may set a password for testing purpose only. For example you set password in a document that doesn't need password at all. And every time you're required to type it when accessing that file. Or maybe you want to change it. But when you try to remove or change that password you can't find any option to remove it. How disgusting!  :)

Well this is easier than you think! If you wanna change the password then repeat the whole process again until the password box appears. Then type a different password and save the document.

And if you would like to remove the password then just leave that box blank and save the document. Password will be removed.

Hopefully this post will be helpful for you . . . :)
